Step 1 — Connect Your Tools

Connect your tools in minutes

Link your Google Workspace account for Gmail API sending, connect Zoom for automatic registrations, and add your MailerLite account for post-webinar follow-up. One-time setup. Everything runs automatically after that.

Behind the scenes

CinnaReach uses a Google Workspace service account with domain-wide delegation — the highest-trust method for calendar invite delivery. Your invites land natively in Google Calendar, not in spam.

Step 2 — Upload Your Contacts

Build your contact pool

Upload contacts via CSV with first name, last name, email, company, job title, and LinkedIn URL. Contacts live in a shared tenant pool — no duplication across campaigns. Suppressed and unsubscribed contacts are automatically excluded.

Behind the scenes

CinnaReach enforces a 60-day contact cooldown by default — preventing the same contact from receiving invites too frequently across campaigns. You can override this per campaign with the retargeting toggle.

Step 3 — Configure Your Campaign

Set up your campaign once

Choose your cadence (weekly, bi-weekly, monthly, or custom), set your invite window (18 to 3 days before the webinar), configure sending hours and daily limits per sender, and write your calendar invite description with merge tags.

Behind the scenes

The priority scheduler scores each contact by days_to_webinar. Contacts closest to the webinar date are prioritized — maximizing your RSVP rate in the critical final days.

Step 4 — CinnaReach Sends & Tracks

Invites go out automatically

Every day, within your configured sending window, CinnaReach dispatches personalized calendar invites from your sender accounts. RSVPs flow back in real time. Accepted contacts are auto-registered in Zoom.

Behind the scenes

Invites are spaced 2–5 minutes apart to mimic human sending patterns. Senders rotate round-robin. Up to 50 invites per sender per day — scalable to 1,000/day with 20 senders.

Step 5 — Post-Webinar Automation

Follow-up happens automatically

The moment your webinar ends, attendees and no-shows are segmented into separate MailerLite groups. Your follow-up sequence fires automatically. No-shows can be recycled into the next webinar occurrence.

Behind the scenes

Contacts who reply STOP or UNSUBSCRIBE to any calendar invite are automatically suppressed — confirmed by email. Unsubscribes sync from MailerLite back to CinnaReach in real time.
